Responsible for managing the administrative operations of a school, or a medium to large academic department, or several small departments within a college, or a medium to large non-academic department. Typically includes all or most of the following functions: IT, facilities, student services, contracts and grants, budgetary financial management and / or human resources. Manages a professional staff, typically large, and / or comprised of professionals in various fields. Assumes accountability for decisions made by subordinates. Performs long and short term planning for function. Erroneous decisions or failure to achieve goals results in additional costs and personnel, and serious delays in overall schedules.
Under the direction of the Auxiliary Services Director, direct and manage the UCSD Bookstore main facilities including: Bookstore, Sunshine Market and Audrey's Cafe. Provide leadership for the overall management of the bookstore's retail and support operations while maintaining an organizational structure that provides sufficient staff expertise to achieve goals and implementation of strategies. Plan and manage assets to ensure profitability. Fulfill Bookstore purpose to provide retail services to UCSD and to be an academic resource that supports the academic mission of the University; meet or exceed customer expectations for service and book/merchandise selection. Enhance productivity by streamlining internal business processes; sustain and improve Bookstore staff expertise and satisfaction on the job.
Broad knowledge of the organization's processes, protocols and procedures with a focus on budget, account and fund management and / or personnel management under labor contract(s) and personnel policy.
Detailed knowledge of college textbook industry and emerging trends, of publishers, ordering and returns process.
Detailed knowledge of non-book merchandise normally carried in college stores, vendors, prices, ordering process and relation functions.
Demonstrated computer knowledge to provide guidance, administer and manage retail computer systems including but not limited to inventory, sales processing, forecasting, database management, financial reporting and analysis.
Strong demonstrated knowledge and experience in financial management and accounting practices to develop, implement, analyze, and monitor annual multimillion dollar operating budget. Ability to prepare short and long range forecasts.
Skills in organization and customer service to effectively manage multiple important priorities. Proven ability to organize department work functions in an efficient and effective manner.
Strong demonstrated experience in independent administration and store management including but not limited to financial and labor management, retail, IS systems, customer service, operations, marketing, asset protection, receiving and warehousing.
Proven skills to quickly evaluate complex issues and identify multiple options for resolution. Strong demonstrated ability in establishing and implementing policy. Strong demonstrated ability to exercise good judgment in making high level management decisions and commitments. Ability to resolve issues and exercise diplomacy in stressful situations.
Strong verbal and written communication skills; ability to influence / persuade all levels of staff. Exceptional interpersonal and communication skills to interact effectively with diverse groups including staff, student, faculty, external customers and vendors. Demonstrated ability to maintain exceptional working relationships.
Demonstrated experience and proven skill and knowledge in strategic planning, including ability to develop and implement a strategic plan.
Broad knowledge of common organization-specific and other computer application programs.
Demonstrated management and conflict resolution skills to effectively lead and motivate others. Demonstrated supervisory, leadership, and personnel management skills to effectively administer and manage through others.
Broad knowledge of financial analysis and reporting techniques; human resources and risk management planning; and / or accounting and payroll.
Thorough knowledge of staff utilization and motivation; ability to plan and manage the work of subordinate supervisors and staff.
Demonstrated skill and knowledge in employee development, including the ability to develop and implement effective training programs.<
