DEPARTMENT OVERVIEW

Colleges, Housing and Educational Services (CHES) is a multi-funded organization within the Business and Administrative Services (BAS) division at the University of California (UC) Santa Cruz.  CHES provides leadership in the areas of college student life and residential services, housing services, facilities, employee housing and capital planning, dining services, conference services, early education services, the Bay Tree Campus Store ID card services, and business and financial analysis for these areas.  Through these units, educational and developmental programs and services are offered to all members of the campus community including students, faculty, staff, children and external constituents.

Within CHES, the Bay Tree Campus Store is a self-supporting Auxiliary Enterprise, whose mission is to provide to the campus community with books, related materials and services which complement the academic environment and which support the diverse needs of the campus community.

JOB SUMMARY

Under the general supervision of the Director of the Bay Tree Campus Store, the ID Card Service Coordinator will support all aspects of student identification and graduation ceremony accessories. This position interfaces with several campus and public units, facilitating a critical relationship between students, staff and faculty.

JOB DUTIES

50% - Core Function: Program Administration

• The incumbent has oversight of all aspects and functions of ID Card Services at the Bay Tree Campus Store, including maintaining policies, practices and procedures.
• The Coordinator will work with vendors and review all vendor service contracts. The position is also responsible for creating requisitions and coordinating purchases of equipment, supplies, and product.
• This position will work with a number of different software and imaging systems to create student identification cards, staff badges, and enrollment verification stickers and is responsible for their security and proper distribution. The incumbent is also responsible for the security of the system software operations, equipment and supplies. 
• Will perform problem solving and act as a liaison between on and off campus units. Manages cash handling, collection, deposits and cash fund administration. Maintains billing, recharges and reconciliations. Approves invoices and follows up on discrepancies and credits. 
• The incumbent will suggest process improvements to the Director.

20% - Communication

• The incumbent will handle daily correspondence with the campus community.
• Provides quality customer service to all constituents and act as the primary point person for ID Card Services.
• Provides outreach and follow up as needed with vendors and salespersons to ensure appropriate inventory levels, pricing and equipment availability. 

15% - Publication

• Oversees the content, design, graphics, printing and distribution of student identification cards, staff badges and auxiliary service announcements in a deadline-focused environment. 
• Oversees and updates information for the Bay Tree Campus Store website.

10% -  General Research

• The incumbent will perform periodic research on existing vendors and service contracts, reviewing pricing, products and delivery. Will compare existing vendor pricing against competitor pricing and bids and will provide recommendations and findings to the Bay Tree Campus Store Director.
• This position will maintain vendor activity records and logs of product sales Will maintain and update vendor and policy handbooks and binders to reflect changes in inventory and advancements.

5% - Other Duties as Assigned 

• Will represent ID Card Services at all appropriate campus planning meetings, presenting timelines and informational handouts pertaining to services and deadlines. 
• May train and provide guidance to student employees.
   

 

REQUIRED QUALIFICATIONS

• Demonstrated experience working in a customer service environment with an emphasis on effectiveness, professionalism, and integrity
• Excellent interpersonal skills, with the ability to interact effectively with diverse groups of people demonstrating tact, flexibility, sensitivity and helpfulness
• Strong computer skills with ability to learn and use campus financial a systems, personal computers, spreadsheet, and data base utilities. Knowledge of Microsoft Word, Excel, and File maker database systems
• Excellent organizational skills with the ability to prioritize a heavy workload with the pressure of frequent interruptions and manage multiple activities to meet unit, organization, and campus deadlines
• Strong written and oral communications skills to disseminate information in a clear and concise manner, in person, by e-mail and over the phone
• Cash handling experience with the ability to operate computerized cash register terminals
• Demonstrated professional administrative skills with knowledge of standard office procedures and equipment
• Demonstrated ability to research data
• Excellent data entry skills to type correspondence, reports and perform data entry with accuracy
• Ability to utilize imaging systems and other software to prepare id cards and badges and stickers documents, reports, 
• Ability to learn and utilize new policies, work processes, and computer applications
• Ability to train and provide feedback to student employees
• Ability to exercise discretion and good judgment with confidential information
• Ability to work as part of a team, as well as independently with general supervision
• Ability to work with individuals from diverse ethnic and cultural backgrounds with sensitivity and professionalism

 

SPECIAL CONDITIONS OF EMPLOYMENT

• Selected candidate will be required to pass a pre-employment criminal history background check
• Must be able to work overtime during the beginning of fall quarter and the end of spring quarter
