ABOUT THIS POSITION Summary: The Department Manager manages all aspects of operations of the Course Materials department within the bookstore and is responsible for obtaining faculty course material requests and procuring requested materials in adequate quantities in a timely manner. The Manager maintains accurate records using the textbook management software in use by the store and performs all steps of inventory control as pertains to Course Materials, including ordering, receiving, maintaining accurate sales information, returns of unsold stock, and disposition of unsold inventory. The Course Materials Department Manager is responsible for training and supervising student assistants in departmental operations and customer service standards. As a department-level manager, this position provides operations support to store manager; provides assistance to other department managers; and supervises or assists in all store operations. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other related duties may be assigned. Supports CMU’s educational mission and fulfills the needs of the academic community by working with faculty, information technology, and students to develop innovative solutions for course materials that address market competition, reduce student cost, improve student experience, and meet academic requirements. Research industry standards and trends and develops and proposes recommendations to address industry changes and implement best practices. Builds strong relationships and partnerships with students, faculty, and staff, in order to identify current and future needs for course material purchasing decisions. Researches and develops communication tools and methods, including the use of technology and self-service applications, in order to make the textbook adoption process more cooperative and efficient. Coordinates the entire course material ordering process from accurate and timely faculty adoptions, to analyzing enrollment figures, past ordering history, and inventory levels to determine purchasing and sourcing at the optimum cost of new, used, rental, and eBooks. Maintain necessary controls/procedures for all Course Materials inventory management, including procurement, shipping, receiving, and preparation. Ensure accurate entry of inventory into textbook management system; ensure accurate and timely returns using textbook management system. Work with faculty, staff and students to ensure appropriate format choices are represented (New, Used, E-books, Rentals, Inclusive Access/Direct Digital, etc.). Train and supervise student staff on departmental procedures and customer service standards. Ensure accurate and timely entries and reconciliation between course materials inventory system and Banner. Prepare and reconcile audit trail documents. Provide internal support for course material systems ensuring a thorough knowledge and understanding of system, resolving issues with the vendor(s) on a timely basis, and ensuring it functions with other systems in order to produce timely and accurate reporting and financial information. Plan & supervise Buyback events. Participate in store planning. Recommend and evaluate enhancements to store policies and procedures. Assist the Bookstore General Manager with special projects and assessments on the changing needs and interests of students and necessary infrastructure to support the appropriate response. Serve as a back-up to other roles in the department as identified by the Bookstore General Manager. Assist in store operations by performing store opening/closing procedures.
Required Qualifications: • Bachelor’s degree from an accredited institution. • Two years’ experience in operations management. • Demonstrated knowledge and skills which support the principles, policies, and practices of textbook operations may be substituted for two years operations management experience. • Demonstrated organizational and interpersonal skills. • Demonstrated ability to work independently and to implement solutions effectively without direct supervision. Preferred Qualifications • Experience in managing textbook and course material operations • Proficiency with Verba Suite of course material management tools. • Experience with NetSuite ERP. • Supervisory experience. • Proficiency with Microsoft Office is highly desirable.
